Connecting Karbon practice management software helps CPA/ accounting firms streamline their client onboarding process once clients sign proposals, engagement letters or quotes using Fresh Proposals. It automates the practice management process by triggering work creation and assignment based on the kind of services client signed up for.
Let's look at how to connect your Karbon account with your Fresh Proposal software account.
You will need API key to enable the integration. The API key is available in your Karbon account.
Logon to your Karbon account. Navigate to Settings > Connected Apps
If you have active accounts and access is enabled for both tools, you should see Fresh Proposals software in the list.
Click on the connect button to find your API key. Copy this API key to use it in the next step.
Visit Fresh Proposals Karbon HQ integration page and past the API key as shown below.
Once you enter a valid API key and click on the Connect button, you will see a success message..
Enabling Integration Options
In the same integration page, there are few options you can use.
Import Contacts
To import organizations from your Karbon account to Fresh Proposals you can use the Import option as shown below. You can search by name and import multiple organizations, contacts from the search result.
Enable Create WorkItem Option
To automate the WorkItem creation in your Karbon account, you will need to enable the following option first.
MAP SERVICES <-> Work Items Template
You can map Services from Fees library in your Fresh Proposals account with <-> WorkItems template in your Karbon account.
To add new service mapping, click on the Add service button, select desired Fee item from your Fee Library of your Fresh Proposals account and select corresponding Work Item template which you would like to map in your Karbon account.
You can also automatically assign Work Item to desired team member in Karbon once a proposal is signed using Fresh Proposals and Work Item is created in Karbon.
The dropdown will show you the list of team members configured in your Karbon account.
Please make sure that you use or import the service fee from fee library to the fee table of the proposal or engagement letter created for the client. Services which are not mapped from fee library to your proposal or engagement letter will be ignored, meaning no work items will be created for such unmapped services.
Automating Creation of work item using service fees in the signed proposals
Proposal -> Work Item Workflow
While creating a proposal or engagement letter, you can set start date and end date for the engagement. These dates are used to set the timeline for Work Items chosen
Service fee table shows the services client is accepting in the proposal or engagement letter
Once the proposal or engagement letter is signed by all parties, the document status turns into Signed and it automatically triggers creation of Work Items in the connected Karbon account.
In the document activities tab, you will see all the work items created based on the mapped service -work items used in the fee table in the proposal/ engagement letter. It may take a few moments to reflect the list of work items created in your Karbon account.
When you login to your Karbon account, you will see the work items created as shown below. The timeline for these work items is set based on the proposal start and end date set in the document.
You can find more information of the work item created by clicking on it.
Please note the following mapping necessary to make the Service <-> Work Item creation work.
Service fee from fee library in Fresh Proposals is mapped to published work item template in Karbon account
Service fee item in the fee library are used/ imported in the proposal and engagement letter.
