Automate Document Renewal

Note: This feature is available as optional add-on in the Business tier plan. 


Using this feature, businesses will not miss contract renewal. You will be automatically reminded in advance before renewal date and you can also get the renewal document created automatically.

How to access it: Document Summary > Document Details > Renewal Settings



Configure Document Renewal 

For an existing document you can when it should be renewed and its reminder. To configure renewal settings, you have three options


  • Do not renew (default option)
  • X months from the document signing date
  • X months from the specific date dd/mm/yyyy


It is up to the proposer to decide when s/he would like to renew the contract document.




Notes

: The document status should be completely signed in order it to be renewed

: In case of the second option, the document renewal date will depend on the date when the current contract is completely executed

: In case of the third option, the document renewal date will depend on the user specified date and number of months thereafter as specified by the proposer; provided current document is completely executed



Renewal Reminder Date

Obviously you would want to be reminded well before actual renewal date. You can set up renewal reminder days before renewal takes place so that you can prepare renewal document, make changes, get buy-in from the client, get it signed so that the business continuity can be ensured.



 



Renewal Document Template

Here comes the advance automation part. You can also automate creation of the renewal document. Select the desired template that you would like to use as a renewal document and Fresh Proposals software will automatically create the renewal document for the same client and contact using the selected document template.






Document Renewal Reminder Emails

If the current document is signed by all parties, and renewal reminder is configured, proposal lead will receive renewal reminder email. 


When you set correct dates and select renewal template, renewal document will be created on the date when renewal reminder is sent. Your renewal reminder will have a link to the renewal document so that you can update it and send it to client for signing.



Document Renewal Dashboard


You can see renewal documents in action using renewal dashboard. You will know how many documents are up for renewal in next 60 days, which ones are currently being taken up for renewal; how many have expired without renewal, how many are completed.



You can also check the same set of renewal documents in table view.
