Forward Document, Replace Signee

What is Document Forward, Replace Signee option?

When you send a proposal, agreement, contract or engagement letter, the recipient need not be authorized to sign the document or take a decision. In few cases, as a proposer, you might not even know who is the decision maker. In such case you can enable an option for your client-recipient to forward the document internally to his/her colleague.


Who can set this option?

Proposer, proposal editor can set this option in the proposal summary page or in the editor properties panel. You can enable or disable this option for a given proposal.



Who can make use of option?

The ability to forward document or replace signee is meant for clients. This option allow them to forward the document to appropriate person in their company and make them signee. 


What happens when proposal recipient forward the document?

Following things happen when a proposal recipient forward your document to someone

  • The person to whom the document is being forwarded, receives email notification to review the document
  • The recipient who originally received the proposal also gets email notification about document being forwarded
  • As a proposal lead, you will receive notification that recipient has forwarded the document
  • New recipient is added as client contact and s/he becomes document signatory (depending on option, he becomes additional signee or replacing existing one). 


What are the limitations of Document Forward/ Replace Signee feature?

1. The document can be forwarded to maximum 10 people; And currently all of them will be added 

2. This option is currently available in the 'New Client View' only. 




Enable Document Forwarding/ ReAssign Signature Option


This option can be accessed in Proposal Summary > Proposal Details > More Options as shown below

Recipients, clients when open the proposal (New Client View), and if this option is enabled by proposer, they will see it like this





Forward Document, Replace Signee


When clicked on the menu, client will see the Forward Signature popup as shown below.




Replace Current Signee

By clicking the 'Replace Me' checkbox; the recipient can reassign his/her signature to the selected recipient. 


This is helpful when the first recipient is well aware that s/he can not sign the document and, not only he needs to forward the document, s/he needs to make appropriate person replace him/her. 





Forward to More Recipients

The recipient can forward the document to multiple people at once. They all will receive the document, they will be added as contacts and signee for the proposal/ document.




Customize email sent to the next recipient, signee

You can customize email subject and body as shown below. 



Cilcking 'Send' button will send email notification to new signee to review the document.


Remember, as it is with any other regular document, the forwarded document status will turn 'Signed' only when all signee signs the document.
