Custom Branding Feature - Email From Your Domain

For starters, here is a quick guide about most commonly used types of DNS records


  • A : A stands for Address (or host record). It is used to link domain, subdomain to specific IP address (also known as naked address). e.g. subdomain.mydomain.com pointing to 123.123.123.123
  • TXT : It is used to provide textual information about the domain.It is typically used to verify domain ownership, security measures like SPF, DKIM, DMARC.
  • CNAME:  CNAME stands for Canonical NAME. It is used to redirect traffic from domain's subdomain to other domain or subdomain. To implement custom domain in Fresh Proposals we will be using CNAME.
  • MX : This is email related record. Using this record you can controls which email service provider can be used.

NOTE: To send proposal email using whitelisted domain, the domain of your registered email id should match the whitelisted domain. You can not login with your gmail id and send proposal as yourname@yourdomain.com refer this FAQ for more info.


What does it mean to be able to send email from your own domain?


By default when you send proposals using Fresh Proposals tool, the recipient will see

1. Your Name as a sender name

2. However email id will be something like myproposals {at} freshproposals.com


It works with most of the people, just fine.


However, for those who want their clients/prospects to see 'email is sent from their own domain'  (like john@mycompany.com), you will need to set up 'Email Whitelisting' in other words 'Email from your domain' feature. If you are particular about how your prospect should view your emails, you should go for this feature.


To set this up, there are few steps involved from your side as well as for Fresh Proposals team also.


Fret not, it is not that technical or difficult. Simply follow the steps below.



STEP 1: ADD CUSTOM DOMAIN RECORD


You will need to add TXT records in your domain registry (such as GoDaddy, domains.com, Name Cheap, etc), as shown below.




STEP 2: DKIM VERIFICATION


The second step involves adding three CNAME records to your domain registry as shown below.



Login to your domain registrar website (e.g. Godaddy, Bluehost, Hostgator, Namecheap, Dreamhost, etc. and set following information as CNAME record. 


If you don't have domain management access, you will need to contact your IT/Network administrator and ask them to set following information.

Important Notes: 

  • You will need to enter three different CNAME entries as shown in your Fresh Proposals account settings page. 
  • Once you have added CNAME, confirm it by clicking on the checkbox and then Next button
  • It may take up to 72 hours to update the DNS entries, so don't worry if this step doesn't pass/succeed immediately
  • Once domain and DKIM verification succeeds, you will be receive notification, you will need to log-off and login again. Your proposal email will be sent using your own domain.
  • For this feature to work, correct DNS entries should be available all the time in your DNS registry and should be accessible too. In absence of correct DNS entries, email whitelisting feature will not work, you will see a error message at the time of sending proposal.
